UW Medicine Human Resources has an outstanding full time opportunity for a Nurse Recruiting Assistant at the UWMC Nursing Recruitment Office.
This position is primarily responsible for maintaining HR/Payroll records in our HR/Payroll system (Workday), and the general support of two nurse recruiters. This includes acting as the initial point of contact for external employment inquiries, scheduling of interviews, verifying credentials of applicants, and coordinating new hire onboarding. Also included in the responsibilities is the review and data entry of status change forms for employee actions including but not limited to new hires, separations, FTE changes, salary changes, promotions, transfers etc. Verify appropriateness of actions and accurately enter changes into Workday, in accordance with payroll and other processing deadlines.
Accurately and efficiently enter new hire information and payroll status changes into Workday.
Follow up with payroll department, recruiters, human resources consultant or hiring manager on employee actions that require additional information.
Perform audits to verify accuracy of data entry and compliance with HR/Medical Center policies, union contracts or compensation plan.
Respond to general inquiries about employee actions and new hire paperwork processes.
Support or participate in the new hire process for new employees.
Perform criminal history inquiries on potential employees
Prepare and send a new hire letter to all new employees.
Verify that all new hire paperwork is complete and follow up as required on problems or missing information.
Participate in the new employee orientation process in roles of presenter as well as general support.
Troubleshoot and resolve problems and recommend changes to current methods, systems and processes to increase accuracy and productivity.
Cross train other support staff and provide backup to the nurse recruiters and other support staff as needed.
Participate on internal and external committees and workgroups and participate in ongoing coordination with Medical Centers Payroll Department, UW Human Resources and other UW departments to ensure smooth handoffs of work and system implementation/improvements.
Review and distribute reports or information from Workday.
Maintain and update data tracking systems other than payroll and HR system, i.e., spreadsheets, access databases, etc.
Verify length of service for award/recognition purposes.
In consultation with the Human Resources Consultant, fulfill employee requests to review personnel HR file.
Assist with projects from Human Resources Consultants, Recruiters and Employment Specialists.
Perform related duties as required.
Four years of office experience including two years of increasingly responsible experience in a human resource or related setting OR equivalent education/experience.
Additional requirements include:
Knowledge of general office procedure and protocol.
Knowledge of policy and procedures related to human resources and payroll procedures.
Demonstrated effective verbal and written communication skills with staff, and internal and external customers from all levels in the organization.
Proficient computer and Microsoft Windows, electronic calendar, email, Excel and Word processing skills.
