Applications are being sought for an Academic Advisor at the UMKC School of Pharmacy, Division of Pharmacy Practice and Administration, Office of Experiential Programs. Duties include but are not limited to:
Gather, organize and summarize information requested in order to provide accurate data/information necessary for meetings/conferences/reports.
Operate a personal computer utilizing appropriate software and databases to develop/modify working files, select and extract appropriate data and design reporting formats to present data.
Independently compose correspondence in order to respond to experiential office inquiries using own working knowledge of office policies and procedures.
Greet and act as an information resource for faculty, staff, and students in order to provide service/support using own working knowledge of office policies and procedures.
Manage student non-credit requirements and onboarding records including, but not limited to, immunization/health records, intern license information, and criminal background checks including data input, managing the process and communication between the office and students to be sure that all records are up-to-date and complete prior to a student going on rotation.
Optimize the functionality of existing programs used for rotation scheduling, assigning coursework, and completion of evaluations.
Assist students with non-academic problem solving. Provide general campus information. Refer students to appropriate campus resources.
Assist with planning and coordinating programs to orient students to aspects of the experiential portion of the professional curriculum.
Proactively communicate with faculty, staff, and students regarding upcoming deadlines, programs and events of the experiential office.
Work with other departments on campus to facilitate operational needs of the program including completion of contracts and legal affiliation agreements.
Manage required contracting for the experiential office and assist with contracting for the Division of Pharmacy Practice and Administration including initiation, review, negotiation when required, tracking expirations to ensure timely renewal, and appropriate documentation in the CORE ELMS database for accurate reporting purposes.
Prepare reports and communicate with the Missouri Board of Pharmacy regarding intern training sites, preceptors, and records of training hours.
Manage the Special Site Permit process in coordination with requirements of the Missouri Board of Pharmacy including initiation of the application process, providing completed/signed applications and CVs to the Board on behalf of preceptors, and tracking the expiration of each permit to ensure timely execution of renewals.
Fiscal responsibilities include initiation and tracking of payments for designated training sites/preceptors
Plan, assign and review the work of office support staff in the collection and maintenance of various records and correspondence.
A Bachelor’s degree or an equivalent combination of education and experience and at least 1 year of experience from which comparable knowledge and skills can be acquired is necessary.
Working knowledge of education management systems, e.g. CORE ELMS or other
Experience using Microsoft Office products
Two years of experience in an academic environment performing related job functions
Full Time/Part Time
Full-Time, 8 am to 5 pm
Exempt – Annual Salary Range commiserate with expeerience ($35,194 – $40,000)
