The Marlin Alliance Inc. is seeking an Administrative Assistant or Project Assistant with experience providing administrative support to technical teams. The position will support the SIPR (Secure Internet Protocol Router) Room at SPAWAR San Diego. Anticipated travel is minimal (>5%). Salary is commensurate with experience. The candidate must have or be able to obtain a DoD clearance.

Duties / Responsibilities
Coordinate on-site meetings with staff and visitors.
Prepare meeting materials, including printing and collating documents for attendees.
Process visitor access requests.
Set up conference lines or security video teleconference for conference calls.
Attend and take notes during meetings.
Draft and distribute meeting minutes.
Draft and distribute action item lists and track the status of action items.
Support development of documents in Microsoft Word and PowerPoint, including formatting, compiling edits, and developing final PDFs.
Assist physical document management in a classified environment.
Maintain a document/deliverable/reference library.
Perform data entry tasks.
Track the status of ordered materials and provide update reports.
Provide overall administrative and programmatic support that may include developing Microsoft Excel tracking documents, creating Microsoft Word templates, and completing forms.
DoD Secret Clearance.
Bachelor’s degree desired
Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel
Ability to analyze and revise operating practices to improve efficiency
Detail oriented and comfortable working in a fast-paced office environment
Exceptional communication skills
Superior organization skills and dedication to completing projects in a timely manner
