The Program Assistant is part of the Philanthropy team and reports to the Executive Director, Planned Giving. This position provides administrative support for various tasks within the Planned Giving program. The Program Assistant is expected to take initiative, be a self-starter and be able to work independently. Must maintain professionalism, be flexible and able to handle multiple tasks and changing priorities and remain composed under pressure of deadlines. Must exhibit dependability and willingness to work as an integral member of the Philanthropy team and be capable of working well within all levels of the organization. The Program Assistant must be able to communicate the mission, values and scope of the institution.
Responsibilities and essential job functions include but are not limited to the following:
Provides administrative support that is accurate, detailed and efficient.
Answers main phone line and email for planned giving team. Interacts with donors and estate planning advisors on initial planned giving inquiries from inbound calls and emails.
Maintains database entry and management for planned giving team.
Prepares general correspondence including memos and e-mails. Proofreads copy for spelling, grammar and layout, and makes appropriate edits. Responsible for accuracy and appearance of final documents. May prepare charts, tables, graphs and other presentation material.
Supports Planned Giving Outreach Coordinator to track responses to our surveys and related mailings in an accurate and detailed manner. Includes interacting with donors on inbound inquiries.
Works with Planned Giving Manager to track open estates and trusts and move them through the settlement process.
Identifies and implements processes to improve workflow, organization and communication
Maintains system for organizing, updating and archiving documents and information.
Schedules and coordinates meetings, travel, conference attendance and other program activities.
Assist in coordination of presentations, seminars, and other outreach events.
Monitors program expense budget, processes invoices and reconciles procurement card expenses.
Inventory and stock shared supplies.
Maintains confidentiality of all sensitive materials and information in printed, electronic or verbal form.
Additional special projects and administrative tasks as assigned.
Summary of Experience
Bachelor’s degree preferred
Two to three years’ experience in administrative support or office environment.
Knowledge, Skills and Abilities
Exceptional customer service skills required
Ability to communicate clearly and concisely, both orally and in writing
Must have strong attention to detail
Self-motivation and flexibility
Ability to build relationships and work in a team environment
Ability to work under the direction of others and perform special projects as assigned
Ability to set priorities, meet deadlines and manage multiple projects in a fast-paced, changing environment
Ability to understand and carry out oral and written instructions and request clarification when needed
Proficient in Microsoft Word, Excel, PowerPoint and Outlook
Experience with The Raiser’s Edge, and in particular RE NXT, preferred
Experience with Asana, or other project management software, preferred
